Delivering the final packaging with the artwork, required working with the client, supplier and print coordinators. Saxco had challenges making this happen in a consistent way at a pace at which customers demanded.
Challenges:
Saxco has over 5000+ regular customers and many more who work with them on an in-frequent basis. They also have a global network of 600+suppliers who they work with to satisfy client requirements. Working with such a large number of customers and suppliers and coordinating across with the printing team was a big challenge.
1.Slow TAT: The artwork proofing and management process took a considerable time working its way through the customer, sales, buyer and print coordinators. This impacted Saxco’s efficiency and made it harder for them to complete the projects within the stipulated timeline.
2.Project Management: Dealing with large number of customers and suppliers meant there were project management bottlenecks. Visibility on the project flow was minimal and lead to constantdelays and firefighting.

1.Digitizing the process: The entire delivery process was mapped out taking into consideration all the packaging and print specifications for each artwork type (Direct print can, sleeved containers, etc.). Depending on the artwork type, the respective data fields and mandatory information was automatically available for the users to fill. Users had the convenience of drop-down lists to pick up every possible type of print and packaging specification data based on the artwork type. This greatly improved the speed, accuracy and consistency of the project data. The to-be process was mapped out into the ManageArtworks system with the flexibility to pick stakeholders responsible for each customer and supplier. The ‘Ship date’ gave everyone the visibility on the deadline to be met.
2.Seamless collaboration: Everyone from Sales reps, CSR, Print coordinators, Buyers, Customer and Supplier representatives were all on one single system. This brought in huge transparency into how the project was going on. All files and their versions were available in one central place. Everyone received email alerts for their tasks and reminders if something is overdue. This greatly reduced the need for manual follow-up and got everyone on the same page about the status of the project.
3.Tracking and Reporting: The ManageArtworks system had built in reports where every project and their timeline could be tracked. The planned number of days, the actual time taken, the number of iterations and the average time taken for each task was available in real-time. This really helped in not only understanding which projects were running late but also analyse at the task level where the bottlenecks were and take remedial action.
